  • Overview

    Peak Utility Services Group is looking to add a new team player to it's ranks to support the executive team. 

    Under the direct supervision of the Executive Assistant to the CEO, this position provides administrative support to the Peak Executive Leadership Team. In addition to typing, filing and scheduling, performs duties such as presentation building, expense entry and reporting, gathering and consolidating data, coordination of meetings and conferences, obtaining supplies and working on special projects as needed. Interacts with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload, in addition to recommending changes in office practices or procedures.

    1. Schedules and organizes complex activities such as meetings, travel, conferences and departmental activities for the Peak Executive Leadership Team.  
    2. Utilizes Microsoft Office products at an expert level. Creates and develops visual presentations, spreadsheets, organization charts, etc.
    3. Establishes, develops, maintains and updates records in accordance with established recordkeeping guidelines.
    4. Organizes and prioritizes large volumes of information.
    5. Sorts and distributes mail. Drafts written responses or replies by phone or e-mail as requested. Responds to regularly occurring requests for information.
    6. Acts as a liaison the Peak Executive Leadership Team and the Peak Operating Companies. Handles confidential and non-routine information in an appropriate manner.
    7. Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for assigned projects, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures and other print material.
    8. Supports the Peak Executive Leadership team by booking flights, hotels, rental cars, meetings space and other requested accommodations.  Maintains the Peak travel calendar, in addition to supporting executives with their Outlook calendars.
    9. Types and designs general correspondences, memos, meeting summaries, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making changes as appropriate. Responsible for accuracy and clarity of final draft.
    10. Supports the Peak Executive Leadership Team by preparing expense reports, managing receipts and leading the reconciliation process.

    Supervisory Responsibility

    This position has no supervisory responsibilities. 

    Work Environment

    This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

    Physical Demands

    This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

    Position Type and Expected Hours of Work

    This is a full-time position. Office hours are Monday through Friday, 8:00am to 5:00pm. Work hours will generally fall within those hours, allowing flexibility as needed.  


    Only local travel is expected for this position. 

    Required Education and Experience

    1. High school diploma or equivalent.
    2. Two or more years of administrative experience.
