    The HR Coordinator provides general administrative support to the HR Department and is responsible for new hire onboarding, orientation, records administration (electronic and paper) for personnel files, DOT FMCSA/PHMSA, confidential medical information, and benefits (including carriers and vendors). The HR Coordinator ensures the accuracy of data entry and various management reports. 

    Responsibilities

    • Assists department in carrying out a variety of human resources programs and procedures for all company employees.
    • Provides backup to HR Team in their absence.
    • Administration of employee record systems to include compensation, performance management, DOT compliance, CDL regulation, issued equipment & assets, and other employee records, to include all personnel files.
    • Assists HR Recruiter in candidate paperwork and helps to coordinate the use of temporary employees, through the onboarding process.
    • Coordinates and verifies new hire background / drug tests / and other checks as part of the employee onboarding process.
    • Coordinates various new hire processes such as E-Verify, I9 compliance, notification to state registry, DOT compliance (initial and continued), and employee badging based on client requirements.
    • Conducts and responds to employment verifications for DOT, and employee references.
    • Maintains Human Resource Information System (ViewPoint) records and compiles reports from database as needed. Coordinates updates with Accounting/Payroll/IT according to their needs to ensure proper payroll, benefit administration and company assets.
    • Coordinates meetings, events, and activities for the HR Department staff.
    • Composes company Newsletter on a quarterly basis.
    • Serves as back up for New Hire Orientation.
    • Helps to maintain company organization seating charts, email directory and employee picture directory.
    • Updates HR and leadership team on current employee count, terminations, new hires, assets, etc.
    • Performs other related duties as required and assigned (special projects, company activities, etc.).

    Qualifications

    • 1-3 yrs. administrative experience.
    • 1-3 yrs. prior knowledge of principles and practices of human resources a plus.
    • Minimum of a High School diploma or GED.
    • Prior experience with an HRIS database preferred.
    • Requires effective oral and written communication skills, excellent interpersonal skills and computer literacy.
    • Travel to multiple business locations to meet needs of employees and organization is required up to 10% of the time (company mileage reimbursement policy applies).
