  • Overview

    This position is to provide support to the operational, scheduling, and administrative efforts of the Hydrovac, Locate and Utility Lateral Construction Departments. This position is responsible for understanding, supporting and assisting the department with client-specific tasks. He or she should develop a thorough understanding of all department operating policies and procedures. They will be responsible for scheduling work for underground utility installation, including job packet preparation, calling in appropriate locates, and procuring permits to ensure optimal productivity of field personnel. Responsible for receiving calls for engineering service sales, quotation creation, status updates, follow up calls and reporting from CRM data. Collects and reports monthly metrics for the department.

     

    Due to growth, we have an opportunity for a full time Administrative Support role to scle the needs of our Engineering Department at our corporate office in Wheat Ridge. This position helps with customer services and data entry.

     

    Responsibilities

     

    • Extremely strong customer service acumen (written and oral communication).
    • Performs data entry of time and material from field crew time cards into proprietary
    • Creates quotes for incoming sales and outside sales representatives. Conversion of quotes to lost or work order status in
    • Responsible for CRM customer updates for sales activities. Accurate entry of quotations and customer information into
    • Prepare, verify and direct invoices/bills from third party
    • Verify that transactions comply with customer contracts and SiteWise Corporation policies and
    • Schedule multiple crews on a daily basis with department supervisors/superintendents. Accurately assess priorities, including making appropriate customer contacts, to optimize productivity of field
    • Update daily crew schedules with supervisors/superintendents and maintain timely communications with customer project management
    • Assemble and process job packets, coordinate with permit technician, initiate work order creation, verify the accuracy and maintain updates for MR’s (material requests) for individual
    • Schedule locates, locate meets and municipal inspector
    • Maintain organized system of document
    • Maintain updated job scheduling and completion records.
    • Respond to inquiries from internal departments regarding time reports, billing, unit and T&E questions.
    • Support the coordination of ancillary services, third party vendor rentals and repairs for individual job projects.
    • Coordinate and schedule the inspection and certification of tool and equipment inspection.
    • Maintain strong work ethic to ensure the required day’s work is complete.
    • Ability to work in a high-paced, demanding work environment
    • Responsible for timely communication with customers and SiteWise staff.
    • Responsible for the collection and reporting of monthly metrics for the department.

    Qualifications

    • Demonstrated ability to work effectively in a team environment.
    • Ability to handle multiple priorities
    • Above average skills with Microsoft Office (specifically Word and Excel). Experience with enterprise proprietary software (ViewPoint) preferred but not required.
    • Strong organizational skills in a fast-paced environment.
    • Demonstrated ability to communicate effectively and professionally with both internal and external customers.
    • Excellent customer service skills; ability to build and maintain successful relationships.
    • Knowledge of CRM database management or equivalent software.
    • Ability to maintain a high level of accuracy under time constraints.
    • Ability to be flexible while maintaining a strong work ethic.
    • Maintain confidentiality of documentation, recordkeeping and information
    • Strong decision making and analytical thinking ability.
    • Strong leadership skills.
    • Ability to respond quickly, take responsibility and resolve issues.

     

    Education and Experience:

    • This position requires a high school diploma and 2 years of data entry experience.
    • Construction industry experience is desirable.
    • Sales and/or phone handling experience desirable, but not required.
    • Prior crew coordination/scheduling experience preferred.
